1. Introduction

Welcome to TimePro AI ("we," "our," or "us"). We are committed to protecting your privacy and ensuring you have a positive experience on our application. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and web services.

By using TimePro AI, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, please do not use our services.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

  • Email address
  • Password (encrypted and hashed)
  • Profile information you choose to provide

2.1.1 Sign in with Google or Apple

If you choose to sign in with Google, we request only the basic scopes openid, email and profile. From your Google Account we receive your name, email address and profile picture, plus an identifier Google issues for TimePro AI. If you sign in with Apple, we receive your email address (or an Apple private relay address) and, if you share it, your name.

We use this Google user data only to create your TimePro AI account, sign you in, and show your name and picture inside the app. We do not use it for advertising, we do not sell it, and we do not share it with anyone except Supabase, our authentication and database provider, which stores it on our behalf. We do not access your Gmail, Google Drive, Calendar, contacts or any other Google data.

TimePro AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can remove TimePro AI's access at any time at myaccount.google.com/connections. Deleting your TimePro AI account deletes the Google user data we store, as described in section 7.

2.2 Time Tracking Data

To provide our core time tracking services, we collect:

  • Task names and descriptions
  • Time entries (start/stop times, duration)
  • Client information
  • Project notes and descriptions
  • Invoice data and billing information

2.3 Usage Data

We automatically collect certain information when you use our app:

  • Device information (model, operating system, unique device identifiers)
  • App usage patterns and features accessed
  • Crash reports and error logs (for app improvement)
  • IP address and general location data

2.4 AI Chat Data

When you use our AI-powered features:

  • Chat messages and queries
  • AI-generated insights and responses
  • Voice recordings (if you use voice input features)

2.5 Advertising and Measurement Data

We advertise TimePro AI on Meta platforms (Facebook and Instagram) and measure which of those ads lead to installs and subscriptions. For that purpose we collect and share:

  • Advertising identifiers. On iOS, your device's Advertising Identifier (IDFA) is used only if you allow tracking when the app asks you on first launch. If you choose "Ask App Not to Track," or later turn tracking off in Settings → Privacy & Security → Tracking, the identifier is not used. On Android, the Google Advertising ID is used; you can reset or delete it at any time in Settings → Google → Ads.
  • App and website events. App opens, account registrations, when you begin a subscription checkout, and completed subscription purchases (including the amount and currency of the subscription).
  • Matching information. When a subscription is completed, our payment server sends the purchase to Meta together with your email address and account identifier in irreversibly hashed (SHA-256) form, so the purchase can be matched to the ad that produced it. Meta does not receive your email address or account identifier in readable form.

Your time entries, task and client names, notes, invoices and AI chat content are never used for advertising and are never sent to any advertising partner.

2.6 Cookies and Similar Technologies (Website)

Our website, timeproai.com, uses the Meta Pixel, which sets cookies and reports page views and subscription purchases to Meta for the advertising measurement purposes described in section 2.5. You can control cookies through your browser settings, and you can limit how Meta uses this information through your Meta account's Ad Preferences. Our mobile apps do not use cookies.

3. How We Use Your Information

We use the collected information for the following purposes:

  • Service Provision: To provide, maintain, and improve our time tracking and productivity services
  • AI Features: To generate insights, answer questions, and provide AI-powered recommendations about your productivity data
  • Invoice Generation: To create and manage professional invoices based on your time entries
  • Account Management: To authenticate users, manage accounts, and provide customer support
  • Data Analytics: To analyze usage patterns and improve our app's functionality and user experience
  • Advertising and Measurement: To measure how well our ads perform, to attribute app installs and subscriptions to the ad that produced them, and to show people more relevant ads for TimePro AI (see section 2.5)
  • Security: To detect, prevent, and address technical issues, fraud, and security threats
  • Communication: To send you important updates, service notifications, and respond to your inquiries

4. Data Storage and Security

We take data security seriously and implement industry-standard measures to protect your information:

  • Encryption: All data is encrypted in transit using TLS/SSL protocols
  • Secure Storage: Your data is stored securely using Supabase, which provides enterprise-grade security and compliance
  • Authentication: Passwords are hashed using industry-standard algorithms and never stored in plain text
  • Access Controls: We implement role-based access controls to ensure only authorized personnel can access your data
  • Regular Backups: Your data is automatically backed up to prevent data loss

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee absolute security.

5. Third-Party Services

We use the following third-party services that may collect or process your data:

5.1 Supabase

We use Supabase for database storage, authentication, and backend services. Supabase processes your data according to their privacy policy. Learn more at: supabase.com/privacy

5.2 OpenAI

Our AI features are powered by OpenAI, L.L.C., a third-party AI service. We ask for your explicit permission in the app before any of your data is sent to OpenAI, and you can withdraw that permission at any time under Settings → AI & Privacy. Until you grant permission, nothing is sent.

When you use an AI feature, only the data needed for that specific feature is transmitted:

  • AI insights — your task names, how long each task ran, and the dates of your time entries.
  • AI chat — the message you type, plus your task names and recent time entries.
  • Voice notes — the audio recording you make, sent to OpenAI's Whisper service for transcription.
  • Improve / summarize note — the text of the note you are editing.

This data is used solely to generate the result returned to you. Your name, email address and payment details are never sent to OpenAI. OpenAI does not use data submitted through its API to train its models, retains API data only transiently for abuse monitoring, and is contractually bound under its API data-processing terms to protections equivalent to those described in this policy. 5.3 Sentry

We use Sentry for error tracking and app performance monitoring. This helps us identify and fix bugs. Learn more at: sentry.io/privacy

5.4 Meta Platforms (Facebook and Instagram)

We use Meta's business tools — the Facebook SDK in our mobile apps, the Meta Pixel on our website, and the Meta Conversions API on our server — to measure our advertising as described in section 2.5. The data described there (advertising identifiers where permitted, app and website events, and hashed matching information) is shared with Meta Platforms, Inc., which acts as an independent controller of that data. 5.5 Google Analytics for Firebase

We use Google Analytics for Firebase to understand how the app is used and which features people rely on. It collects app usage events, device information and, on Android, the Google Advertising ID. Learn more at: firebase.google.com/support/privacy

5.6 Payment Providers

Subscriptions purchased on our website and in the Android app are processed by Stripe, which receives your email address and payment details directly; we never store your card number. Learn more at: stripe.com/privacy. Subscriptions purchased inside the iOS app are processed by Apple through In-App Purchase, and we receive only the confirmation that a purchase completed.

6. Your Rights and Choices

You have the following rights regarding your personal data:

  • Access: You can access and review your personal data through the app
  • Correction: You can update or correct your information at any time
  • Deletion: You can delete your account and all associated data by contacting us
  • Data Export: You can export your time tracking data in CSV format
  • Opt-Out: You can opt out of non-essential data collection features
  • Advertising: On iOS you can decline tracking when the app asks, or change your answer at any time in Settings → Privacy & Security → Tracking. On Android you can reset or delete your Advertising ID in Settings → Google → Ads. On our website you can control cookies through your browser and your Meta Ad Preferences. Declining has no effect on your ability to use any feature of TimePro AI
  • Account Deletion: You can request deletion of your account and all associated data

7. Data Retention

We retain your personal data for as long as your account is active or as needed to provide you services. If you delete your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it for legal or regulatory purposes.

8. Children's Privacy

Our services are not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately, and we will take steps to delete such information.

9. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that differ from those in your country. By using our services, you consent to the transfer of your information to these countries.
